What is the Booking Process of a Crewed Yacht Charter?

Are you ready to speak to us about your crewed yacht charter, but not sure of the booking process? Here is each stage that we follow, with you, to set you on your way to a vacation of a lifetime. 

Tell Us What You Need

Where would you like to go on charter? What dates would suit you? How many people will be in your group? Which activities/water toys are important to you? What is your budget? How will the crew deal with allergies in meals?

E.g. British Virgin Islands, 7 nights between March 1st and March 16, 8 guests (4 adults and 4 children). We would like plenty of water toys for the children to play with, we all love to snorkel. Looking for charters between $28k – $50k.

Let Us Research

We will search a large database of yachts that are available for the dates that you require. We will go through and choose the yachts that meet all your preferences. We then prepare a quote to send to you via email. The quote will detail the cost, interior/exterior photos, videos, amenities, water toys, crew information, sample menu, reviews, and a sample itinerary. 

Here at Epic, we attend various boat shows throughout the year, where we view the yachts and meet the crew. We will only recommend a yacht to you that we are truly satisfied with and know will provide an amazing charter for you. Ask us any questions before deciding on which yacht you would like for your EPIC Yacht Charter. 

Contract and Deposit

After we have helped you choose the perfect yacht for your charter, we will place a hold on the yacht calendar for your dates. While the hold is in place we will draw up a contract and send it to you electronically for signature. This will need to be signed by you and sent back to us along with the deposit.

For most Caribbean catamaran and small motor yacht charters: If your charter is more than 6 months away we will require 25% of the rate as a deposit. If the charter is less than 6 months away, 50% will be required. If you book within 2 months of the start date we will require the whole amount to secure your booking.  

For larger motor yacht charters: The deposit will be 50% of the charter rate. We will invoice you for the remaining 50% along with the APA (Advance provisioning Allowance) and any VAT which will be due 2 months before your charter. If you book within 2 months of the charter we will require the whole amount at booking. 

Yacht charters in the Bahamas attract VAT which will be included in your final invoice. 

Payments can be made with a wire transfer, a credit card or you can send a check. 

Charter Confirmed 

Once we have received the signed contract and deposit from you we will send the contract to the yachts Clearing House and owner for signature. Once we have this returned to us signed by all parties, we will send you your fully executed contract. Now your Epic Yacht Charter is confirmed.  

Payments

If your deposit was 25% we will send an invoice to you, 6 months from your charter date, for the next 25%. Then 2 months before your charter, we will send another invoice for the balance. If you paid 50% as a deposit we will invoice 2 months before your charter for the balance. 

The crew gratuity is separate and will be paid directly to the captain at the end of your charter. 

Preference Sheets

Around 2 months before your charter we will send you your preference sheets to be completed. This is your opportunity to list all your likes and dislikes, any allergies anyone in your group may have, along with drink requests.

You also can detail what activities you would like to do and which places are important for you to visit while on your charter. Your crew will then reach out to you to introduce themselves and discuss your preferences. This will help your crew prepare the yacht and ensure all your requested items are onboard before you arrive.
